How Health Dynamics Consulting Ltd collects, uses and protects your personal information. This policy is written in plain English and covers everything the UK GDPR asks of us.
Who we are
This privacy policy applies to Health Dynamics Consulting Ltd ("we", "us", "our"), a company registered in England and Wales under company number 07277716, with its registered office at Metro House, Northgate, Chichester, PO19 1BE. We operate under the trading name Health Dynamics.
We are registered with the Information Commissioner's Office as a data controller under registration reference ZA705481.

The information we collect
We collect personal information in the following circumstances.
When you contact us. If you use the contact form on this site, email us directly, register interest in our associate network, or fill in a form on our Academy, we collect the details you provide - typically your name, email, phone number, employer, role and the content of your message.
When you visit the site. Our website may set essential cookies needed for the site to function and, if you have consented, optional analytics cookies to help us understand how the site is used. See our cookies policy for detail.
When we work with you or your organisation. As part of client engagements we may hold your name, role, contact details and correspondence needed to deliver the work. Where the engagement involves personal data of third parties, we will agree a separate data-sharing arrangement in the engagement contract.
When we correspond via LinkedIn or professional networks. Information you have made available on those platforms may be recorded in our internal notes about client relationships and business development, held in our CRM.
When you register on the Health Dynamics Academy. The Academy is hosted on Thinkific and operates its own account, authentication and course-progress data - see the Academy's own privacy statement when you register.
We do not knowingly collect data from anyone under the age of 18.
The lawful bases we rely on
Under the UK GDPR, we process your data on one of the following bases:
- Consent - where you have actively opted in, for example subscribing to a mailing list.
- Contract - where processing is necessary to deliver a service or engagement you have asked us for.
- Legitimate interests - where processing is necessary for our legitimate interests as a professional services business, provided those interests are not overridden by your own rights and interests.
- Legal obligation - where we are required by law to hold or process information, for example accounting records.
How we use your information
- To respond to your enquiries and correspondence.
- To deliver the professional services you or your employer have engaged us to provide.
- To consider your application to join our associate network.
- To send you, where you have opted in, occasional updates about our insights, events and Academy.
- To meet our legal, tax and regulatory obligations.
- To improve the site and the quality of the services we deliver.
We do not sell your information to any third party.
Who we share your information with
We share personal information only where necessary and lawful, including with:
- Our own team and associates, on a need-to-know basis, to deliver an engagement.
- Trusted service providers who process data on our behalf under written contracts - for example our IT hosting, email service, CRM (Capsule) and accounting providers.
- Our Academy platform provider (Thinkific) where you have registered for the Academy.
- Framework or procurement partners - where an engagement is delivered under a framework contract (for example Hunter Healthcare, NHS SCW CSU or Bloom), the relevant partner processes information as part of the placement and framework administration.
- Regulators or law-enforcement bodies where we are required by law to do so.
We do not transfer personal data outside the UK or European Economic Area unless the transfer is protected by appropriate safeguards (standard contractual clauses or an adequacy decision). Some of our processors (including Thinkific and Google Analytics) are based outside the UK and operate under appropriate safeguards.
How long we hold your information
We keep personal information only for as long as we need it for the purposes set out above, or as required by law. Typical periods:
- General enquiries - up to 24 months after the last contact, unless you ask us to delete sooner.
- Client engagement records - for the duration of the engagement and 7 years after, in line with accounting and professional standards.
- Associate network records - while you remain in the network and 24 months after you leave, unless you ask us to delete sooner.
- Marketing preferences - until you opt out.
- Academy account records - held by Thinkific under their retention terms until you delete your Academy account.
Your rights
Under the UK GDPR you have the right to:
- Access the personal information we hold about you.
- Ask us to correct information that is wrong.
- Ask us to delete information, where the law allows.
- Object to certain processing.
- Ask us to restrict processing while a dispute is resolved.
- Ask for a copy of your information in a portable format.
- Withdraw consent at any time, where consent is the basis of processing.
To exercise any of these rights, email hello@healthdynamics.co.uk. We aim to respond within one calendar month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. Our ICO registration reference is ZA705481.
Security
We take reasonable technical and organisational measures to protect personal information, including access controls, encryption in transit, and staff training. No system is entirely secure, but we work to ensure our practice reflects good professional standards and applicable regulations.
Changes to this policy
We may update this policy from time to time. Material changes will be communicated on this page and, where appropriate, by direct notification. This version was last updated in September 2026.
